Custom App Development: Key Stages
One of our clients needed us to improve the CRM Group Integration App functionality for Bitrix24 toward the specific client needs. So we automated a number of business processes in order to minimize wasted time when it comes to manage workgroups and projects.
Now the application has a custom features that help create group templates and set automation rules. CRM items forms get new fields: Client Group to select a workgroup for a client and Cooperation Partner Group to select a workgroup for a partner who generate leads.
Also we automated the process of directories creation at Bitrix24 Drive (My Drive) for projects documents saving the hierarchy of all the folders.
We automated invite dispatch to Extranet users who have an access to a workgroup.
Templates
Just create a project template and automate business processes with your own robots! So you can automatically add new workgroups or projects associated with different Bitrix24 items. It duplicates group with all the data: feed with group messages & activities, kanban, tasks and subtasks, group lists, etc. Managers do not need to manually invite workgroup members which now are copied and transferred into a new workgroup or a project when created.
Group name is generated according to rules set in a specific template. Pre-configured automation rules associate the created group with the CRM item you need.
CRM items and workgroups data association
New fields — new opportunities. Now users can select workgroups within the CRM items forms. We added more additional fields in deals, contacts, companies forms:
- Client Group — for clients workgroups;
- Cooperation Partner Group — for partners workgroups.
Now users are able to select a workgroup from the list of existing ones or create it from a template using a pre-configured robot. This new necessary functional allows to keep clients and partners data separate and create workgroups or projects according to ready-made group templates.
Business process: automation rules and triggers
Robots work hard for you. Our client wanted to minimize wasted time when it comes to create groups associated with different CRM items. So we added the automation rules fuction to the App functionality. A human can make a mistake, but a robot can't (if it is configured correctly).
Now users can set a customized project template name according to settings and pre-made data defined (feed, kanban, tasks and subtasks, group lists, etc.). The fields Client Group and Cooperation Partner Group are filled when reference group for every CRM item is selected. It is easier for a manager to configure automation rules settings to automatically create new groups — no manual adding needed.
In addition, robot passes the created group ID to the next robot or business process in turn. Thus, it is possible to include automation rules in any existing chain in order to automatically create, for example, tasks within this new workgroup.
Bitrix24 Drive (My Drive): project documents upload
By default, CRM items in Bitrix24 can’t be assotiated with directories on Drive automatically. Therefore managers have to create a separate directory manually and upload the CRM item documentation there every time.
To automate the process, automation rules now perform this routine instead of managers. After creating a workgroup, a robot will automatically create the necessary folders’ hierarchy. A button will appear in the CRM item for quick access to the Drive.
Extranet Users Invitation
The system does not allow you to automatically send an invitation to an extranet user to the email address you provided — this can only be done manually by creating a user and granting him an access to the workgroup.
When an extranet user gets an access to a workgroup managers manually have to send invitations. So we automated this process and now the user can be immediately invited to both the CRM item and the workgroup. You only need to provide the user's Email address. It is enough to configure the automation rules.
Items and access settings
Settings allows users add administrators and set up permissions with a couple clicks. The CRM Group Integration application now allows inherit a workgroup from deals according to contact or company data. No double work burden!
The Results
Within a very short time, we developed the CRM solution in sync with the key objectives set us by the client. Our specialists atomated regular business processes and added new features — templates and automation rules. New functionality of the CRM Group Integration App for Bitrix24 is a powerful system that allows users to efficiently manage their clients and partners and assign or manage tasks and projects faster.
Now the App also automatically creates directories at Bitrix24 Drive (My Drive) for projects documents saving the hierarchy of all the folders. It invites extranet users to the email address you provided.
